Project Coordinator/Executive ASsistant

Anchor QEA, an environmental science and engineering consulting firm, is seeking a PROJECT COORDINATOR in its Montvale, NJ office.

The Project Coordinator will perform many administrative functions supporting one or several technical consultants to increase team efficiency and organization while delivering superior internal and external service. Responsibilities include:

  • Managing project emails and correspondence
  • Scheduling and hosting meetings, taking meeting minutes
  • Coordinating document distribution, document version management, and electronic filing
  • Document production and deliverables including formatting, proofreading, and distributing letters, memos, meeting minutes, and other technical and marketing materials in coordination with the Product Delivery Group 
  • Preparing progress reports
  • Interacting with clients and consultants as part of a project team
  • Interfacing with sub consultants and clients on non-technical issues
  • Monitoring and regularly updating project schedules
  • Processing contracts and amendments
  • Reviewing sub consultant invoices for compliance with contract requirements
  • Providing coordination and control support for project efforts, including cost and timeline tracking for specific projects
  • Working with Anchor QEA’s Product Delivery Group in multiple offices to ensure that documents are consistent with our standards and templates
  • Additional responsibilities include administrative duties for the office such as answering the phones, handling in-going and out-going mail, filing, assisting with invoices, creating budget reports, copying, and other administrative duties as requested

Required qualifications:

  • 5+ years experience in a similar role in the A/E industry.
  • Must be highly organized and detail oriented, possess strong written and oral communication skills, have a strong command of English spelling and grammar, and be proficient in Excel, Word, Power Point, Outlook and Adobe Acrobat.  Experience with Sharepoint, Microsoft Project, and website maintenance is desired but not required.
  • The ideal candidate will be a self-starter who enjoys taking on new challenges to expand his/her role
  • A strong commitment to client service and quality work product is essential.
  • Must be able to work independently, be self-motivated, self-discipline and dependable with excellent teamwork and interpersonal skills.
